Position Overview: Hope Station is seeking a highly organized, proactive, and mission-driven program coordinator to oversee the day-to-day coordination of our programs & provide administrative & community outreach support. The program coordinator plays a central role in ensuring that Hope Station’s community programs operate efficiently & effectively. This position is responsible for coordinating program logistics, maintaining records, tracking outcomes, community outreach initiatives, & ensuring smooth office operations. 

 

Key Responsibilities 

 

Program Coordination and Management 

  • Coordinate and manage Hope Station’s programs. This includes developing program schedules, timelines, and task plans to ensure successful delivery.  

  • Monitor program activities and ensure alignment with organizational goals and grant requirements.  

  • Track participant enrollment, attendance, outcomes, and performance data.  

  • Assist in developing program evaluation tools and quality improvement measures.  

  • Identify and implement improvements to increase program effectiveness and efficiency.  

  • Support the development of new program ideas and initiatives.  

  • Assist in coordinating workshops, trainings, meetings, and special events.  

  • Maintain strong communication with program participants, partners, and stakeholders.  

 

Administrative Support 

  • Provide administrative support to the Executive Director and program staff.  

  • Manage calendars, schedule meetings, and prepare correspondence.  

  • Prepare reports, presentations, and other documents as needed.  

  • Handle office supply inventory and general operational needs.  

  • Maintain databases, including donor and participant records.  

  • Answer inquiries and serve as a professional point of contact for community members and partners.  

  • Assist with community outreach initiatives. 

Qualifications 

  • Strong organizational and time management skills.  

  • Excellent written and verbal communication skills.  

  • Ability to manage multiple projects simultaneously and meet deadlines.  

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).  

  • Experience with donor databases or program tracking systems is a plus.  

  • Ability to work independently and collaboratively.  

  • Experience with event planning, volunteer management, and public speaking preferred. 

  • Ability to work with information that is both sensitive and con?dential in nature; ability to review the work of others as assigned.

  • Ability to build positive relationships with staff, partners, funders, and community members.

 Additional Considerations 

  • Must be willing to work occasional evenings and weekends for special events and programs.  

  • Reliable transportation may be required for local meetings and community events.
